Hiring Information Inside the Platform
When an employer uses Eximius to run a hiring process, that employer decides what candidate information is collected and why. We process it on their behalf and under their instructions, and we retain it for as long as it is needed to deliver the service and to meet legal, contractual, and record keeping obligations.
Our platform allows organizations to share jobs and candidates with each other where both sides explicitly agree to it, for example when a staffing agency submits a candidate to an employer through our marketplace. A single hiring record can therefore form part of more than one organization's history. Removing that record for one party would leave the others with an incomplete and inaccurate account of decisions they took, so we do not selectively delete historical transactional data.
When a customer agreement ends, we disable access rather than erase records. The organization and its users can no longer reach the platform or the data through it, and the underlying records are retained under the terms of that agreement. Backups are held on a rolling schedule and expire in turn, so deleted or disabled information can persist in a backup for a limited period after it stops being available in the product.
This is our current practice, and we are working to improve it. We are building the ability to separate the records that must be preserved for regulatory, contractual, and shared history reasons from those that do not, so that data outside that set can be deleted when an agreement ends. We will describe that change here once it is in place. Our Information Security Policy covers the controls that protect this data while we hold it.
7. Your Privacy Rights
Depending on where you live, data protection law may give you rights over your personal information. Where the GDPR, the CCPA, or a comparable regime applies to you, those rights include the following:
- Access: ask what personal information we hold about you and why.
- Correction: ask us to fix information that is wrong or incomplete.

What We Can and Cannot Delete
We would rather be clear than reassuring here. Information you gave us through this website, including marketing and contact records, we can delete on request. Hiring records held inside the platform are different. Where a record forms part of a shared hiring history between organizations, or where we are required to keep it for legal, regulatory, or contractual reasons, we may not be able to delete it, and applicable law recognizes those grounds for keeping it. When that happens we will tell you which information we removed, which we kept, and why.
Opting out is not the same as deletion, and the limits above do not affect it. If you ask us to stop contacting you, by email, by replying STOP to a text message, or by writing to us, we act on it, and we keep only the minimum record needed to make sure we continue to honor that choice.
If an Employer or Agency Holds Your Information
Your information may reach the platform in more than one way. You may have applied to a job through Eximius directly, or an employer or staffing agency may have added your profile from a job board, a sourcing channel, or another source they are licensed to use. In each case the employer or agency running that hiring process decides how your information is used, and they are the right first point of contact for a request about it. If you contact us instead, we will point you to them and support them in responding.
How to Make a Request
Write to us at [email protected] and tell us what you are asking for. We may need to verify your identity before we act, so that we do not disclose your information to someone else. We will respond within the time allowed by the law that applies to you, and in any event within 30 days, or we will tell you why we need longer. If you are in the UK, the EU, or another jurisdiction with a data protection authority, you also have the right to complain to that authority.
